Important Notes for Bangalore-Mysore-Ooty Student Group Tours
1. Safety, Discipline & Campus Code of Conduct
Behavioral Obligations: Students must maintain a highly disciplined code of conduct during the entire tour. Any damage caused to star hotel assets, transport coaches, or national heritage properties like Mysore Palace due to student negligence will be the direct financial liability of the respective student or institution.
Movement Restrictions: No student is allowed to leave the designated hotel premises, botanical gardens, or park perimeters independently. Any movement away from the group layout requires written approval from the accompanying institutional faculty coordinators.
Identity Tracking: Students must wear or carry their official institutional ID cards at all times. The HolidayMantra Tours & Travels field team will also issue emergency support contact tags on Day 1.
2. Accommodation & Hotel Logistics
Quad-Sharing Setup: Student rooms are systematically mapped on a quad-sharing basis (4 students per room) inside verified Star Hotels. Separate blocks, floors, or corridors are strictly designated to keep male and female students safely separated.
Check-In/Check-Out Windows: Standard hotel check-in time is 12:00 PM and check-out is at 10:00 AM. Early placement or delayed check-out requests are purely subject to live room availability and hotel structural rules.
Personal Billing: Personal room expenses (e.g., laundry service, extra meals ordered via room service, or phone bills) are completely excluded from the package cost and must be cleared individually at the reception before departure.
3. Transport Management, Mountain Safety & Punctuality
Adherence to Timelines: Educational group travel operates on strict time slots. Student groups must strictly adhere to the morning departure timings set by the Tour Escort to avoid missing entry permissions for museums or gardens.
Mountain Travel Rules: The journey up to Ooty involves navigating steep hair-pin bends in the Nilgiris. Students are expected to maintain silence and order inside the Non-A/C Coach during hill transit to ensure maximum driver focus and safety.
Unforeseen Delays: In case of sudden railway delays, unexpected vehicle breakdowns, severe weather shifts in Ooty, or major highway traffic jams, any secondary costs for extra stays or alternate routing will be borne directly by the client.
4. Medical Support & Emergency Health Guidelines
First-Aid Deployment: Our accompanying Tour Escort carries a basic first-aid kit for minor issues. However, students undergoing active treatments or suffering from travel sickness/altitude sickness on the Ooty hills must carry their prescribed medications in sufficient quantities.
Advanced Medical Expenses: Any sudden clinical hospitalizations, specialized medical tests, or doctor-on-call visits at the hotel are entirely excluded from the base package cost and must be handled directly via student medical insurance or paid on-site.
5. Institutional Documents & Group Processing
Complimentary Faculty Management: To facilitate smooth institutional management, HolidayMantra Tours & Travels offers 2 complimentary slots for faculty members for every minimum unit of 45 paying students.
Mandatory Master Roster: The school or college administration must submit a stamped master list containing names, emergency phone numbers, blood groups, and parent contact details for all traveling members at least 15 days prior to the departure date.
