Important Notes for Rajasthan Student Group Tours :
1. Safety, Discipline & Heritage Site Code of Conduct
Behavioral Obligations: Students must maintain a highly disciplined code of conduct during the entire tour. Any damage caused to hotel assets, desert camp structures, or national heritage properties like Amber Fort or Mehrangarh Fort due to student negligence will be the direct financial liability of the respective student or institution.
Movement Restrictions: No student is allowed to leave the designated hotel premises, desert camp boundaries, or monument parking zones independently. Any movement away from the group layout requires written approval from the accompanying institutional faculty coordinators.
Desert Safety Protocols: During the Camel Safari and cultural night at Sam Sand Dunes, students must strictly follow the handlers’ and Tour Escort’s instructions. Venturing deep into unlit desert areas alone after dark is strictly prohibited.
2. Accommodation & Hotel Logistics
Quad-Sharing Setup: Student rooms are systematically mapped on a quad-sharing basis (4 students per room) inside verified A/C Hotels and premium camps. Separate blocks, floors, or corridors are strictly designated to keep male and female students safely separated.
Check-In/Check-Out Windows: Standard hotel check-in time is 12:00 PM and check-out is at 10:00 AM. Early placement or delayed check-out requests are purely subject to live room availability and hotel structural rules.
Personal Billing: Personal room expenses (e.g., laundry service, extra snacks ordered via room service, or phone bills) are completely excluded from the package cost and must be cleared individually at the reception before departure.
3. Transport Management, Highway Safety & Punctuality
Adherence to Timelines: Rajasthan involves long highway travel distances between cities (e.g., Jodhpur to Sam, or Udaipur to Jaipur). Student groups must strictly adhere to the morning departure timings set by the Tour Escort to avoid missing scheduled sightseeing slots or traveling too late into the night.
Coach Hygiene: Since the group will be traveling long distances via an A/C Coach, students are expected to maintain strict cleanliness and refrain from littering inside the vehicle to ensure group health and hygiene.
Unforeseen Delays: In case of sudden railway delays, unexpected vehicle breakdowns, desert sandstorms, or major highway traffic jams, any secondary costs for extra stays or alternate routing will be borne directly by the client.
4. Medical Support & Emergency Health Guidelines
First-Aid Deployment: Our accompanying Tour Escort carries a basic first-aid kit for minor issues. However, students undergoing active treatments or suffering from heat/travel sickness during long highway transits must carry their prescribed medications in sufficient quantities.
Advanced Medical Expenses: Any sudden clinical hospitalizations, specialized medical tests, or doctor-on-call visits at the hotel are entirely excluded from the base package cost and must be handled directly via student medical insurance or paid on-site.
5. Institutional Documents & Group Processing
Complimentary Faculty Management: To facilitate smooth institutional management, HolidayMantra offers 2 complimentary slots for faculty members for every minimum unit of 45 paying students.
Mandatory Master Roster: The school or college administration must submit a stamped master list containing names, emergency photo ID details, phone numbers, blood groups, and parent contact details for all traveling members at least 15 days prior to the departure date.
