General Guidelines & Important Notes for All Student Group Tours
1. Safety, Behavior & Discipline
Behavioral Expectations: Students are expected to maintain an exemplary code of conduct throughout the trip. Any damage caused to hotel property, transport coaches, or historical monuments due to student negligence or misconduct will be the sole financial liability of the respective student or institution.
Movement Restrictions: To ensure maximum group safety, no student is permitted to leave the hotel premises, campsite, or group coach independently at any time. Any movement outside the scheduled itinerary requires explicit, written authorization from the accompanying institutional faculty members.
Identity & Emergency Tags: Students must wear or carry their official institutional identity cards at all times. On Day 1 of the tour, our team will also provide emergency contact tags featuring the dedicated Tour Manager’s direct helpline number.
 2. Accommodation & Hotel Policies
Standard Room Sharing: Student accommodation is strictly structured on a budget-friendly quad-sharing basis (4 students per room) in clean, secure, and verified hotels using Non-A/c rooms. Separate rooms, wings, or floors are strictly maintained to keep male and female students segregated.
Check-In/Check-Out Timings: Standard hotel check-in is at 12:00 PM and check-out is at 10:00 AM. Early check-in or late check-out requests are subject to room availability and hotel management discretion.
Personal Room Expenses: Expenses for items of a personal nature (e.g., room service food/drinks, laundry services, telephone calls, or the use of specialized amenities like room heaters in cold mountain destinations) are completely excluded from the package cost and must be settled individually before check-out.
3. Transport, Sightseeing & Operational Timings
Strict Punctuality: Educational group travel operates on tight schedules. Student groups must strictly adhere to the daily morning departure timings communicated by the Tour Escort. Delays can directly result in missing prepaid monument entries, industrial visits, or transport connections.
Coach Hygiene: All transfers and local sightseeing routes are executed via dedicated, well-maintained luxury group coaches. Littering inside the vehicle is strictly prohibited to ensure collective health and hygiene.
Unforeseen Contingencies: In the event of sudden flight/train delays, severe weather shifts, landslides, roadblocks, or unexpected vehicle breakdowns, any extra expenses incurred for extended accommodation or alternate logistics will be borne directly by the clients.
4. Medical Support & Emergency Health Protocols
On-Tour First Aid: Our accompanying Tour Escort carries a standard, basic first-aid medical kit. However, students undergoing specific, regular medical treatments are strictly required to carry their prescribed medications in sufficient quantities.
Advanced Medical Expenses: Any advanced medical emergencies, sudden hospitalizations, or specialized doctor-on-call consultations at hotels are entirely excluded from the base package cost and must be covered via student medical insurance or paid directly at the time of service.
 5. Documentation & Faculty Benefits
Complimentary Faculty Slots: To assist in seamless group coordination and supervision, we gladly extend 2 complimentary (free) slots for institutional teachers or coordinators for every minimum group of 40 to 45 paying students (depending on the package criteria).
Mandatory Master List: The educational institution must submit a certified, stamped master list of all participating students and faculty members (including emergency contact numbers, parents’ details, and blood groups) at least 15 days prior to the scheduled departure date.
