Important Notes for Nepal Student Group Tours
1. Cross-Border Documentation & Student Discipline
Mandatory Border Identification: Since this is an international tour, every student and faculty member must carry original government-issued identification (Aadhaar Card, Passport, or Voter ID Card) along with multiple passport-sized photographs. A stamped, official master list and a bona fide letter from the educational institution’s head are mandatory for border verification.
Behavioral Expectations: Students must maintain an exemplary code of conduct. Any damage caused to star hotel property, transit vehicles, or sacred heritage structures due to student negligence will be the sole financial liability of the respective student or institution.
Movement Restrictions: No student is permitted to leave the hotel premises or cross border areas independently. Any movement outside the scheduled itinerary requires explicit, written authorization from the accompanying faculty members.
2. Accommodation & Separation Policies
Standard Room Sharing: Student accommodation is structured on a quad-sharing basis (4 students per room) in verified, secure Star Hotels. Separate rooms, floors, or wings are strictly maintained to keep male and female students safely segregated.
Currency & Personal Room Expenses: Expenses for items of a personal nature (e.g., laundry, room service, or telephone calls) are completely excluded. Note: Indian currency notes of Rs. 100 and below are widely accepted in Nepal; however, higher denominations (Rs. 200, Rs. 500) are restricted by local laws, so students should carry appropriate cash.
3. Transport, Mountain Safety & Weather Hazards
Strict Punctuality: Educational group travel operates on tight schedules. Student groups must strictly adhere to the morning departure timings communicated by the Tour Escort to cross checkpoints and mountain passes before peak traffic hours.
Mountain Travel Realities: All road transfers and local sightseeing routes are executed via a dedicated layout of non-A/C cabs to safely navigate Nepalese mountain terrains. Littering inside the vehicles is strictly prohibited to maintain group hygiene.
Unforeseen Contingencies: In the event of sudden train delays, mountain landslides, border customs clearance shifts, severe valley weather, or unexpected roadblocks, any extra expenses incurred for extended accommodation or alternate logistics will be borne directly by the clients.
4. Medical Support & Emergency Health Protocols
On-Tour First Aid: Our accompanying tour escort carries a basic first-aid medical kit. However, students undergoing specific, regular medical treatments are strictly required to carry their prescribed medications in sufficient quantities.
Advanced Medical Expenses: Any advanced medical emergencies, altitude sickness management, or specialized doctor consultations at hotels are entirely excluded from the base package cost and must be covered via international student insurance or paid directly at the time of service.
 5. Institutional Documentation & Faculty Benefits
Complimentary Faculty Slots: To assist in seamless group coordination and supervision, we gladly extend 2 complimentary (free) slots for institutional teachers or coordinators for every minimum group of 40 paying students.
Master List Deadline: The educational institution must submit a certified, stamped master list of all participating students and faculty members (including emergency contact numbers, parents’ details, and blood groups) at least 15 days prior to the scheduled departure date to process cross-border clearances.
